Overflow Answering vs. Full 24/7: Which Mode Fits Your Shop?

Not every HVAC shop should run a 24/7 AI receptionist. Here is how to choose between overflow-only and always-on answering.

TrueFrontline Team

One of the first decisions you make when you put an AI receptionist on your line is when it picks up. There are two clean answers, and the right one depends less on your budget than on how your office actually runs on a busy Tuesday.

Option 1: Overflow only

The AI sits behind your existing phone system and catches calls your team cannot.

Use overflow if:

  • You have a dedicated office manager or CSR during business hours
  • Your busiest problem is 11 AM to 2 PM, when three lines ring at once
  • You want your regulars to reach a familiar voice during the day

In overflow mode the AI answers when every line is busy or when a call rings out. Your team stays the first line of defense, and nothing goes to voicemail when the office is slammed.

Option 2: Always on, 24/7

The AI answers every call, all hours, and routes or books from there.

Use 24/7 answering if:

  • Your shop is small enough that the owner is also the dispatcher
  • Calls come in while techs are on ladders and cannot answer the office line
  • You do not want to staff a phone at all outside of business hours

This is the mode most one-to-three truck shops start with, because it removes the “who is answering the phone” problem entirely.

The hybrid most shops settle on

In practice, the strongest setup is a schedule, not a single mode:

Time window Who answers
7 AM – 5 PM, lines free Your office team
7 AM – 5 PM, all lines busy AI (overflow)
5 PM – 10 PM AI (after-hours mode)
10 PM – 7 AM AI, with emergency warm-transfer to on-call tech

That last row is where the money is. A no-cool emergency at midnight is a job you can still book if the call is answered and the on-call tech gets a text.

Switching modes for the shoulder season

Spring and fall are the reason month-to-month pricing matters. Many shops do not need round-the-clock answering when the phones are quiet. Instead of canceling, they switch the AI to a lighter schedule or overflow-only, keep capturing the emergency calls, and dial it back up before the first heat wave.

How to decide this week

Pull last summer’s call log if you have one. Count the calls that arrived after 5 PM and the calls that arrived while all lines were busy. Whichever number is larger tells you which mode to start with. You can change it later in a couple of clicks — the schedule is not a contract.
